How to pack your personal items for your Wedding Day

At Essential Details, the main focus of our wedding planning & coordination packages are logistics, vendor management, and timeline execution. Our packages also include setting your personal items on the wedding day. Personal items are items that are unique to each couple and are small enough to be easily moved or carried; items that bring your personal touch to the wedding. These items normally include but are not limited to toasting flutes, favors, photos, cake topper, a card box, table numbers, etc. Any items that are purchased to circumvent rentals through a vendor fall outside of the scope of personal items. For instance, any DIY centerpieces, purchases of china or flatware for the full guest count, audiovisual equipment, etc. Our number one goal is to make sure your wedding day is executed flawlessly, stress-free for you, as well as welcoming and fun for your guests. We accomplish that goal through meticulous planning, strong attention to detail, and by following the instructions you have given to execute your vision properly. In order to get everything exactly how you imagined, we need to get as much information from you as possible.

During the weeks leading up to the wedding, we will have conversations, share photos, and discuss all of your elements in detail. The list of personal items and appropriate labeling of your items will be our best friend when it comes down to execution. Every couple will provide us with a detailed list of all personal items with details regarding where the items should be placed. If necessary, while creating your list, set things up and snap photos so your coordinator has a clear understanding of how to execute placements on your wedding day.

Once you have your personal item list complete, it’s time to start packing, Ironically, the first step of packing is to unpack. Many times, couples send personal items in the original packing in which they received the items. While this can be necessary to ensure the safety of an item (i.e. neon signage, toasting flutes), it usually causes us to spend unnecessary time unpackaging rather than setting. It also creates additional trash that the venue can’t always accommodate.

Now that everything has been accounted for, unpackaged, and photographed, we need to repack it for the big day! The first step is finding sturdy containers. You may need different sizes to organize everything correctly and properly. While you do not have to use these, we love to recommend the ones below. Be sure to wrap any fragile items in paper or bubble wrap to ensure it transports safely.

After packing items into their designated containers, it is so helpful to label the containers so we can easily inventory that we have everything from your list.
